53 topics
WhatsApp report notifications and patient download links

1. Admin opens a released laboratory order and selects WhatsApp download link. The advising doctor can also open Tests & reports in a consultation and select WhatsApp download link to include all currently released reports. 2. Enter the patient number with country code, confirm recipient and consent, and create the link. Review the report-ready message, then choose Open WhatsApp and press Send. This works with ordinary WhatsApp; no WhatsApp Business API is required for this manual sharing option. 3. The patient opens the private link, selects View available reports and downloads each PDF from the program without a staff login. The link expires after seven days. Anyone with it can access those reports, so the patient should not forward it. 4. Use Revoke report links on the originating order or consultation page to disable all links issued there. Links created from other pages must be revoked there separately. Amended, withdrawn or cancelled source reports automatically block the old shared link. Previously downloaded copies cannot be recalled. 5. Links contain the released versions selected when created. Newly released or corrected results require a new link. The notification contains a report count and download link; it does not include result values. WhatsApp opening does not confirm sending or delivery. Existing PDF-file sharing and configured provider sending remain available.

New modules — complete patient and stock workflow

1. Admin sets up users, doctors, consultation dropdowns, vendors, stock items and laboratory tests. Link each doctor login to the doctor record used on invoices. 2. Receive purchased kits into stock. Reception registers the patient and creates the consultation invoice. The doctor opens Doctor Consultations and records the clinical encounter. 3. Doctor-advised tests go to Tests for billing. Reception confirms payment; only then do the tests appear in the lab queue. Lab records sample collection, performance and results. Performing an in-house test deducts its configured kit/reagent quantity. 4. Admin verifies and releases laboratory reports. The advising doctor sees them in Results to review and in the originating consultation. Share released PDFs with the verified patient when appropriate. 5. The doctor finalises the prescription, treatment plan and revisit date. Signing creates the recall worklist entry. Use the existing accounting reports to reconcile payments and shares.

Grant or remove Messages access for any user

1. Admin opens Users, selects Edit beside the user, then finds Allowed modules. 2. Tick Messages (text, voice & audio calls), then Save changes. This permission can be granted to any role, including Doctor and Laboratory. Ask the user to sign out and back in to refresh the menu. 3. Untick Messages and save to revoke access. The server blocks messaging endpoints and the user is removed from the messaging recipient list. Admin retains access. 4. Messaging permission does not grant financial reports, patient clinical records or general invoice access. Existing reception/accounts messaging access is preserved when this feature is first installed.

Text conversations and message notifications

1. Open Messages and select a user who has Messages permission. Read the conversation before sending to confirm the intended recipient. 2. Type a message and click Send message. An invoice reference is optional and requires invoice access; granting Messages alone does not expose the invoice list. 3. The recipient sees the unread bell/count and an on-screen prompt while using the app. Opening the conversation marks its messages as read. Browser sound restrictions may require a click in the page before notification sounds play. 4. Conversations show sender and time. Keep patient information limited to what is needed. Documents and patient reports have their own controlled sharing workflows.

Record and send a voice message

1. Messages → select recipient → Record audio. Allow microphone access when the browser asks. The app must be opened over HTTPS. 2. Speak, then click Stop recording. Recording stops automatically after three minutes. Listen using the preview player. Nothing is sent while recording. 3. Click Discard to record again, or Send voice message to send the previewed recording. An optional invoice reference uses the same permissions as text messages. 4. The recipient plays the message using the audio controls in the conversation. Only sender and recipient can access the stored audio. Recordings are limited to 10 MB and are included in the application backup. 5. Leaving the page or signing out stops the microphone and discards an unsent recording. If microphone access is denied, allow it in browser site permissions. A voice message is a recording; use Audio call for a live conversation.

Make, answer and end a live audio call

1. Both users sign in and keep the app open. Open Messages, choose the other user and click Audio call. Both users need Messages permission. 2. The recipient receives an incoming-call panel while working in the app. Select Answer or Decline. Allow microphone access when prompted. Unanswered calls expire after about 60 seconds. 3. Use Mute microphone / Unmute microphone as needed. Click End call to finish for both participants. The panel remains available while navigating within the app. Use headphones to reduce echo. 4. Calls are audio-only: camera, screen sharing and call recording are disabled. They reuse the existing Daily connection. They do not dial telephone numbers or ring a closed application. 5. A busy-user notice means one participant already has a ringing or active call. A connection interruption may end the call; call again once connected. Calls have a one-hour maximum. If sound is blocked, press Play in the call panel. Provider connection and actual audio quality depend on the network and devices.

Set up doctor access and video consultations

1. Admin creates or edits the doctor under Users, selects Doctor role and enables Video Consultations and Doctor Consultations as needed. 2. In Video Consultations → Link doctor logins, link the login to the correct doctor record used by reception. Each doctor sees their assigned consultations. 3. Admin enables Video Consultations for reception staff who arrange consultations. The existing Daily server API key must be configured for the deployed app. Do not put the key in a patient message or invitation. 4. Test with two different devices. Camera and microphone access require browser permission and HTTPS. Patient video consultations and internal staff Audio calls are separate workflows.

Reception — payment, booking and patient invitation

1. Create the normal patient consultation invoice with the correct doctor and service. Receive payment through the usual reception process. 2. Open Video Consultations, select the invoice, confirm payment and choose the consultation time. This confirms the existing payment; it does not collect another payment or create duplicate income. 3. Use Send on WhatsApp in the private invitation dialog. Verify the patient number with country code, review the prepared message and click Open WhatsApp, then Send in WhatsApp. Copy link remains available. For an existing booking, Replace invitation creates a new link and invalidates the previous invitation. 4. There is one video consultation per invoice. A replacement invitation invalidates the earlier one before the doctor starts. Use cancellation if the consultation will not proceed. Check any refund through the existing refund workflow. 5. Reception manages bookings and invitations but cannot access the doctor’s private clinical notes. Never reuse a patient invitation for someone else.

Doctor and patient — join, full screen and complete

1. The doctor opens the assigned consultation. The patient follows the invitation, agrees to the consultation and enters the waiting room. Entry opens 15 minutes before the scheduled time. 2. The doctor checks patient identity and admits the patient. Use Full screen when supported; otherwise the call fills the available window. Choose High quality, Balanced or Low bandwidth according to the connection. High resolution is not guaranteed on every device/network. 3. Use the call toolbar for microphone, camera and device controls. Full clinical record opens the structured consultation in a separate tab so the video can remain visible. 4. Save private notes and patient advice. Complete consultation saves these, closes the room and makes the shared advice visible through the patient invitation. Leave call only disconnects you and may allow rejoining within the session window. 5. The room expires two hours after the scheduled time. No recording or transcription is started by this app. For clinical notes after the initial import, use the full clinical record consistently: the older video notes panel and structured record do not continuously synchronise.

Start a consultation and record clinical notes

1. Reception creates the consultation invoice with a registered patient and the correct doctor. No appointment is required for an in-person consultation. 2. The assigned doctor opens Doctor Consultations → Consultations, searches for patient name, Patient ID or invoice, then chooses Start consultation or Open. 3. Clinical notes contains presenting complaint, history, examination, assessment/diagnosis and allergy status. Select an admin-defined entry or type patient-specific text. Selecting a note entry appends it to the existing note. 4. Use the four tabs: Clinical notes; Prescription & plan; Tests & reports; Attachments & history. Switching tabs retains unsaved entries. Click Save draft to persist them. 5. If another window has changed the consultation, reload rather than overwriting its changes. Signed records are locked; use Amend consultation with a reason to correct them. Admin can access all consultations; doctors can access their own assigned records.

Admin — medicines, doses, symptoms and other dropdowns

1. Open Doctor Consultations → Consultation setup → Add entry. Select a category, enter the value and save it as available for selection. 2. Categories include medicines, strengths, doses, routes, frequencies, days/durations, quantities, Urdu instructions, symptoms, history, examination, diagnoses, allergies, treatment plans, patient advice and next-visit plans. Add each selectable value as a separate entry. 3. Search or filter the list by category. Edit changes the entry; unchecking Available for selection makes it inactive. Delete removes it from future selections and requires a reason. 4. Existing prescriptions and notes retain their saved text after a catalogue edit or deletion. These are reusable text choices, not an automatic medicine/dose recommendation engine. 5. Manage lab tests opens Lab Test Setup. Tests must be configured and assigned to the relevant doctor there so laboratory billing, shares and stock deductions remain linked.

Write a prescription with Urdu instructions

1. Open the patient’s consultation → Prescription & plan. The first medicine row appears automatically. Click + Add medicine for additional items. 2. For each medicine, choose a dropdown entry or type the name, strength, dose, route, frequency, days/duration and quantity. A medicine requires its name, dose, frequency and duration before saving. 3. Select a saved Urdu instruction or type/edit Urdu in the right-to-left instructions box. Instructions are not automatically translated. Check every medicine and instruction for this patient. 4. Enter the treatment plan, patient advice, plan for next visit and revisit date. Click Save draft. Empty unused medicine rows are ignored. 5. If a dropdown is empty, admin must add values in Consultation setup. The Add medicines & doses shortcut appears for admin when these lists are empty.

Sign, print and save a prescription as PDF

1. Complete the assessment and record allergy status explicitly, including when no allergies are known. Verify patient identity, medicines, doses and instructions. 2. Choose Sign & finalise or Sign & print prescription. Signing creates a retained version and locks the record. Sign & print opens the prescription page. 3. On a signed record, Print prescription / Save PDF is available at the top and beside the record actions. The prescription page also has a Print prescription / Save PDF button. 4. In the browser print dialog choose the printer or Save as PDF. The A4 prescription includes medicines, Urdu instructions, allergies, treatment plan, patient advice, advised tests and next review. Private history, examination and assessment are excluded. 5. If printing is unavailable, confirm you opened an actual consultation, completed assessment/allergies and signed it. Refresh the app after an update if controls are missing. A cancelled prescription cannot be printed as current until the revised consultation is signed again.

Delete medicines, cancel prescriptions and correct records

1. In a draft prescription, Delete medicine removes one row. Save draft to persist the change. Delete all prescription medicines removes the saved medicine list with a reason and retains clinical notes, test requests and follow-up. 2. A signed prescription has Cancel signed prescription. Enter a reason. The signed history is retained, current medicines are removed, the consultation becomes a draft and its current print link is withdrawn. Previously printed or sent copies cannot be recalled by this action. 3. Use Amend consultation with a reason to revise a signed record without cancelling its entire medicine list. Review and sign the revised record when complete. 4. Admin can delete catalogue values or uploaded consultation attachments with a reason. Deletion is recorded in the audit history. Prescription cancellation/deletion checks for changes made in another window. 5. Paid test orders, linked invoices and vendor payments have their own cancellation, refund or reversal procedures. Do not remove linked accounting records to correct a clinical entry.

Advise tests — reception billing and return to doctor

1. In Tests & reports, select the required active doctor-assigned tests and click Send selected tests to reception. These are requests awaiting payment; no kit is consumed yet. 2. Reception opens Doctor Consultations → Tests for billing, reviews patient, doctor, tests and total, then uses Record payment & send to lab only after payment is received. Reception needs Doctor Consultations and New Invoice permissions. 3. The system creates the normal invoice, calculates doctor shares and creates lab orders in one transaction. A repeated submission does not create duplicate invoices. Quick billing uses current listed rates without a discount. 4. Lab staff collect and perform the tests, enter results and submit for release. Admin verifies and releases reports. Released reports return to the advising doctor under Results to review and the originating consultation’s Tests & reports tab. 5. The doctor opens the PDF and records interpretation/follow-up with Record review. Amended reports are unavailable until released again; a new released version needs review again. Cancel request applies to unpaid requests on a draft consultation. Paid orders use laboratory cancellation and the invoice refund process.

External attachments, history and clinical report review

1. Open Attachments & history and choose a PDF, JPG or PNG up to 10 MB, then Attach report. Check that the file belongs to this patient. 2. Open attachment displays the uploaded report with authenticated access. Admin can delete an incorrect attachment with a reason. Uploading a file does not automatically create a lab order or extract its results. 3. Previous consultations with this doctor are listed on the same tab. Open the appropriate record rather than copying unrelated patient details. 4. Reception can use operational billing and recalls without seeing the private consultation, prescription, attachments or returned clinical reports. Clinical report access is restricted to admin and the assigned doctor.

Treatment plans, revisit dates and recall reminders

1. In Prescription & plan, enter the current treatment plan, advice and next-visit plan. Select a revisit date. 2. Signing the consultation creates or updates its recall entry. Doctor Consultations highlights due/overdue recalls and released results awaiting review. 3. Open Recalls & revisits, filter the outcome, and Update recall after contacting the patient. Choose planned, contacted, booked, completed or cancelled, and adjust the recall date if needed. 4. Keep contact/booking notes operational because reception can read them. Put confidential clinical details in the consultation record. 5. These are in-app reminders and worklists, not automatically sent SMS/WhatsApp reminders. A return visit uses a new normal consultation invoice.

Share released results with the patient on WhatsApp

1. Open the consultation → Tests & reports → Share results on WhatsApp. The app prepares all currently released report PDFs for that consultation. Pending or amended/unreleased results are excluded. 2. Check the patient identity, phone number in international format (for example +92…), and agreement to electronic sharing. 3. On a device supporting file sharing, select WhatsApp in the device share menu and verify the recipient there before sending. The app cannot force the recipient selected in that menu. 4. If file sharing is unsupported, download the provided PDFs, open the patient’s WhatsApp chat using the button, attach the downloaded files and send them. Opening the chat does not attach the files automatically. 5. This PDF-sharing action sends files. Use WhatsApp download link to send a private seven-day download link instead. A share menu or open chat is not proof of delivery. Admin’s separately configured WhatsApp Business sending remains available through the laboratory report workflow.

Stock catalogue — packs, units and expiry

1. Admin opens Inventory → Item catalogue and adds an item code, name, category, base unit, pack type, units per pack, minimum stock and expiry tracking. 2. Choose a base unit that matches consumption: pieces, millilitres or usable test units. Total quantity equals packs × units per pack plus loose units. For example, two packs of 50 test units provide 100 units. 3. Set minimum stock to support low-stock reporting. Enter the correct batch and expiry when receiving or adding opening stock. Different batches remain separately traceable. 4. Stock & expiry displays available batches and quantities. Admin sees valuation and financial reports; staff visibility depends on role and module permissions.

Vendors, purchases, invoice attachments and receipt

1. Add the supplier under Vendors, with the appropriate details and opening balance where applicable. 2. Purchases → create a draft with vendor invoice number/date, due date, item lines, batch, expiry, packs, units per pack, pack prices, loose units/prices and discounts. Check quantities and purchase value. 3. Save the purchase and attach the supplier invoice PDF or photographs. Submit for approval; admin approves the purchase. 4. Record the quantities physically received. Partial receipt keeps the remaining quantity outstanding. Stock increases only when goods are received, not when a draft purchase is saved or approved. 5. If stock is missing, open the purchase and follow its next action: Save draft → Submit for approval → Approve purchase → Receive stock → View stock. Do not create duplicate purchases to make stock appear.

Vendor payments, arrears, advances and reversals

1. Open Inventory → Payments, select the vendor, enter date, amount and method, and optionally allocate the payment to an approved purchase. A reference can be entered or generated automatically. 2. Admin’s vendor options show arrears or advance credit, with the projected balance after payment. Accounts staff see their own recorded payments; management balances and financial reports remain restricted to admin. 3. Save and check payment history. Each inventory payment creates its linked hospital expense once. The purchase itself does not create a duplicate cash expense. 4. A payment without purchase allocation can represent a vendor advance or unallocated payment. Use vendor statements and purchase outstanding amounts to reconcile balances. 5. Correct an erroneous payment through the admin payment report’s Reverse action with a reason. Do not edit/delete its generated expense independently. Reversal retains the payment audit trail and corrects the linked expense.

Opening stock, stock movements and vendor returns

1. Add opening stock for quantities already held when starting the system. Opening stock is separate from purchases and does not create vendor debt. 2. Use stock movements for department issues, returns of unused stock against the original issue, damage, expiry and stock-count corrections. Select the correct item/batch and record the reason. 3. A vendor return reduces available stock and creates a vendor credit using recorded stock cost. Reconcile that credit with the vendor balance. 4. Lab performance deducts the configured kit/reagent amount automatically. Do not record a second manual issue for that same test consumption. Record repeat tests through the lab repeat action so extra consumption is traceable.

Inventory and laboratory management reports

1. Admin opens Inventory & Lab Reports and selects the report type: purchases, purchased-stock details, stock valuation, expiry, low stock, movements, vendors, payments, laboratory tests/shares or outsourced tests. 2. Apply the available date and keyword filters. Review row details, totals and selected-record totals where provided. 3. Download PDF for a printable report or use Send PDF to admin to send through the admin document workflow. Management and financial reports remain admin-only. 4. Distinguish total purchases from current stock value and cash paid to vendors: they describe different events and may not match. Purchases increase stock when received; performance/issues reduce it; payments settle vendor liabilities.

Admin — test catalogue, kits and referring doctor shares

1. Open Lab Test Setup → Add test. Enter name, category, price, specimen and expected turnaround. 2. Define result fields as numeric or text, with units and verified reference intervals appropriate to the laboratory method. 3. For in-house tests, select each kit/reagent and the amount used per test in its stock base unit. A kit stored as 100 test units uses quantity 1 for one test; a liquid stored in ml uses its measured ml consumption. 4. Select referring doctors and their share percentages. The test links to the master service and reception billing. Maintain assignments through the existing Services & Rates workflow. 5. Make unused tests inactive when appropriate. Existing records and reports remain linked to their original orders. Only active tests assigned to the doctor are offered in the consultation test selector.

Lab user — collect, perform, record and release results

1. Sign in with Laboratory role and module access. The queue contains paid test orders. Filter/find the correct patient, invoice and test. 2. Collect and identify sample: verify identity and label, then enter sample ID, age and sex. 3. Perform test & use stock when the test is actually run. The system uses available unexpired batches in expiry order and blocks insufficient usable stock. A retry does not deduct the same run twice. 4. Enter results in the configured fields and submit for review. Admin verifies patient details, values and reference intervals, records the verifier and releases the final PDF. Lab-only users cannot release final reports or access financial reports. 5. Record repeat test with a reason if a repeat consumes additional kit/reagent. To correct a released result, admin starts an amendment; the revised report must be released again.

Outsourced laboratory tests

1. Admin marks the test as outsourced in Lab Test Setup and selects the external laboratory from Vendors, with the contracted cost. 2. After collection, lab staff records dispatch and the external reference. The outsourcing cost becomes a vendor payable. 3. On receipt, upload the external PDF and enter the configured result values. Admin verifies and releases the hospital report. 4. Outsourced testing does not consume the in-house test recipe. Any collection materials used should be recorded through the appropriate stock issue. 5. The released result follows the same return-to-advising-doctor workflow when linked to a consultation request.

Report templates — combine tests under headings

1. Admin opens Laboratory or Lab Test Setup → Report templates. Create a named template with a printed title. 2. Add section headings, select existing tests under each heading and arrange headings/tests with the ordering controls. A test appears once in a template and includes its configured result fields. 3. Edit, duplicate or make a template inactive as needed. Preview layout opens a sample PDF without patient results. 4. Create combined report uses one active template and one reception invoice. Every template test must have exactly one corresponding order with a released result on that invoice. 5. The combined PDF keeps headings, test order, results, units, reference intervals, flags, specimen identifiers and verifier details. It is a retained snapshot. Amending/cancelling a source order blocks the superseded combined PDF; generate a new report after corrected results are released. 6. Combining reports does not create new orders, charge again or deduct stock again. Combined PDFs can be downloaded; direct combined-PDF delivery is separate from the individual-report sending controls.

Report logo, header and letterhead

1. Admin opens Report templates → Report letterhead. Upload a PNG/JPG logo up to 1 MB, with dimensions no larger than 4000 pixels per side. 2. Enter the hospital/laboratory name, address/header details, contact information and footer. Save and use Preview layout to inspect the design. 3. New individual report releases and new combined PDFs use this branding. Previously released PDFs retain their original design and content. 4. This letterhead setting is for laboratory reports. The prescription has its own hospital-branded A4 layout.

Admin — send released PDFs by email, WhatsApp or documents

1. Open a released laboratory order and choose Send released report. Check the displayed Email/WhatsApp configuration status. 2. Select Email PDF, WhatsApp PDF or Admin Document Centre. Enter the correct recipient and confirm that it belongs to the intended patient or authorised admin. Confirm patient agreement for external delivery. 3. Email needs hospital SMTP configuration. Direct WhatsApp sending needs WhatsApp Business credentials and an approved report template or a confirmed eligible conversation window. These settings are separate from the Daily video/audio key. 4. Accepted means the sending provider accepted the request; it does not confirm delivery or reading. Check delivery history before repeating an uncertain send. 5. The consultation WhatsApp share action offers a separate device-sharing/download workflow without requiring WhatsApp Business credentials. In-app laboratory report delivery remains restricted to admin recipients.

Missing buttons, empty lists and permission problems

1. Missing menu: admin checks the role and Allowed modules under Users. Sign out and back in after permission changes. Doctor access also needs the correct doctor-login mapping. 2. Empty medicine/dose dropdown: add active values in Consultation setup. Missing test: check that it is active and assigned to that doctor in Lab Test Setup / Services & Rates. 3. Missing prescription print: open the consultation, complete assessment and allergies, then Sign & print prescription. Signed records have Print prescription / Save PDF. 4. No lab order: confirm reception completed payment and saved the invoice for mapped laboratory services. Requests awaiting payment stay in Tests for billing. 5. Stock still zero: receive the approved purchase. Kit-use blocked: check usable quantity, expiry and test recipe units. 6. If a newly published control is not visible, refresh with Ctrl+Shift+R. Ask your administrator to confirm that your hospital is running the latest deployed version. 7. Microphone/camera unavailable: use HTTPS, allow site permissions, close other apps using the device and retry. Keep the app open for incoming audio calls; test with separate devices and headphones.

Getting started

Sign in with the Login ID provided by the Owner. Your menu contains only the modules assigned to you. Use Change Password after first sign-in. Never share an account or password.

Dashboard

Shows today’s collection, monthly income, expenses, net profit and doctor-share balance. Daily Patient & Service Activity can be filtered by date and doctor. Monthly Business Monitoring compares income, expenses, net result and income heads.

New Invoice

Select an existing Patient ID or keep New patient to generate one automatically. Enter patient details, select a doctor and one or more assigned services, apply any permitted discount, then save. Each doctor receives an independent daily turn sequence. Use 58 mm Token for the queue receipt or 80 mm Invoice for the full receipt.

Invoices

Search by date, Patient ID, invoice number, patient or doctor. Open the square icon to view the complete invoice. Thermal prints the receipt. Authorised staff can edit an active invoice with a mandatory reason; the Owner can delete it with a mandatory reason. Deleted invoices remain protected in the audit history and are excluded from financial calculations.

Indoor Cases

Create an admission for a patient and record procedure, doctor, agreed charges and admission details. Add each advance or partial payment as it is received. On discharge, confirm the outstanding balance and procedure expenses before finalising the case.

Expenses

Record date, category, description and amount. Attach a PDF, JPG or PNG when evidence is available. View Attachment appears only for records that contain an attachment. Authorised users can correct or delete manually entered expenses; payroll-generated expenses are managed from Payroll.

Expense Catalogue

Create standard expense categories and common expense names. Accountants can select these while entering expenses and add a new category or expense when it is not yet available.

Refunds

Accountants submit a refund request against an invoice with amount and reason. The Owner reviews and approves or rejects it. Approved refunds affect the accounting record and should not be duplicated manually.

Doctors

Add doctors and manage their active status. Keep inactive historical doctors rather than removing records linked to invoices.

Services & Rates

Maintain one master service list and service charges. Assign services to doctors and define each doctor’s share percentage. Reception sees only services assigned to the selected doctor.

Doctor Shares

Review generated, paid and outstanding shares by doctor and date range. For procedures, the payable share should be calculated after case-related expenses are recorded. Record each payment so payment history remains searchable.

Hospital Staff

Maintain staff name, designation, mobile, address and basic pay. Make staff inactive when they leave so previous payroll records remain intact.

Advances & Overtime

Choose the payroll month, staff member, date and amount. Advances reduce that month’s payable salary; overtime increases it. Entries can be removed only before payroll submission.

Payroll

Generate or recalculate monthly payroll from basic pay, overtime and advances. Review every figure before submission. Submitting a salary creates the corresponding protected payroll expense and cannot be repeated.

Financial Reports

Select Today, Yesterday, This month, Last month or a custom date range. Optionally filter by category or keyword, then run the report. Use Print / PDF Income, Expenses or Summary. In the browser print window choose a physical printer or Save as PDF.

Cash Handover and Daily Cash Control

Reception staff enter only the physical amount handed over. They cannot see the system collection, expected amount, received amount or difference. The administrator privately reconciles the report and replies only Cash handover received or Cash difference noted. Confirmed handovers cannot be changed by reception.

Accountant Cash Control

The Accountant records each expense payment source, submits the physical cash currently held at least once daily, and may update a pending declaration after recounting. Every bank deposit requires its amount, bank name, transaction reference and PDF/JPG/PNG receipt. The Owner privately compares physical cash with confirmed reception handovers, cash expenses, deposits and controlled adjustments, then approves or reports a difference without disclosing the calculated balance.

Document Centre

Select an active user, enter a document title and optional message, then attach a PDF up to 10 MB. The recipient sees it in Document Centre and can open it inside the application. Sent and received documents remain dated and attributed to their users.

Internal Messages

A bell, unread counter and on-screen prompt notify you of a new message while you work. The prompt identifies only the sender; message content remains inside Messages. Select another user to open a private conversation and optionally add an invoice reference. Include only the minimum patient information needed and never share passwords or unnecessary clinical details.

Users & Permissions

Owner-only. Create a receptionist, accountant or combined-role account, then select exactly which modules that user may access. Users with accounting history should be made inactive; deletion is allowed only when no protected history exists.

Invoice Settings

Owner-only. Choose whether mobile is required and set a default doctor and service for faster reception entry. Reception may keep the selected doctor for subsequent invoices until changed.

System Maintenance

Owner-only. Download a backup before major changes. Restore accepts a backup created by this application and preserves login accounts. Master Reset removes transactions only after password and typed confirmation; doctors, services, users and catalogues are preserved.

Safe daily procedure

At opening, confirm the correct date, active doctors, service rates and user access. During work, use Patient IDs and never reuse another patient’s record. At closing, compare collections with reports, review expenses and pending refunds, then download a backup regularly.
